WindowWorks Property Services LLC ("WindowWorks," "we," "us," or "our"), located in the Greater Seattle / Eastside area of Washington State, is committed to protecting the privacy of individuals who interact with our hiring process. This Privacy Policy describes how we collect, use, disclose, and safeguard your personal information when you apply for employment through our careers portal at hire.wwofwa.com.
By submitting an application, you acknowledge that you have read and understood this Privacy Policy.
2. Information We Collect
We collect the following categories of personal information:
- Contact information: Full name, email address, and mobile phone number
- Application materials: Resume, responses to qualifying questions, and any documents you upload
- Assessment data: Scores and results from our third-party candidate assessment provider (Hirebus)
- SMS program data: Mobile phone number, SMS opt-in consent status, opt-in and opt-out timestamps, and the content of text messages exchanged during the hiring process
- Employment source: How you found the job posting (e.g., Indeed, referral, our website)
- Technical data: Browser type, IP address, and access timestamps collected automatically when you visit our careers site
3. How We Use Your Information
We use the information we collect to:
- Process, evaluate, and manage your job application
- Communicate with you about your application status, next steps, and hiring decisions
- Send you text messages related to the hiring process (with your explicit prior consent), including application confirmations, assessment reminders, and interview scheduling
- Conduct candidate assessments through our third-party provider
- Consider you for future employment opportunities if you are added to our talent pool
- Comply with legal obligations and protect our lawful interests
4. Mobile Information — SMS Program
This section applies specifically to information collected through our SMS messaging program.
When you opt in to receive text messages from WindowWorks Property Services LLC regarding your job application, we collect your mobile phone number and your express consent to receive messages.
We do not sell, rent, loan, trade, lease, or otherwise transfer for profit any phone numbers or personal information collected through our SMS program to any third party for marketing or promotional purposes.
All categories of information sharing described in this Privacy Policy exclude text messaging originator opt-in data and consent. This information will not be shared with any third parties for any purpose other than to facilitate the delivery of text messages you have consented to receive.
The only third party with access to your mobile phone number for the purpose of message delivery is Twilio, Inc., our SMS messaging platform provider, which processes messages on our behalf and is bound by its own privacy obligations.
5. Information Sharing and Disclosure
We do not sell your personal information to anyone. We may share your information only in the following limited circumstances:
- Hirebus (assessment provider): To facilitate your candidate assessment. We share your name and contact information so you can receive and complete the assessment.
- Twilio, Inc. (messaging provider): To deliver text messages you have consented to receive. Twilio processes messages on our behalf and does not use your data for its own marketing purposes.
- Authorized team members:Members of our hiring team (limited to 2–3 individuals) who need access to evaluate your application.
- Legal compliance: When required by law, court order, or governmental regulation, or when necessary to protect the rights, property, or safety of WindowWorks, our employees, or others.
- Business transfers: In connection with a merger, acquisition, or sale of all or substantially all of our assets, your personal information may be transferred to the acquiring entity.
6. Data Security
We implement appropriate technical and organizational measures to protect your personal information, including:
- Encrypted data transmission (HTTPS/TLS)
- Secure password storage using industry-standard hashing algorithms
- Access controls limiting data access to authorized personnel only
- Regular review of data security practices and procedures
While we strive to protect your information, no method of electronic transmission or storage is 100% secure. We cannot guarantee absolute security.
7. Data Retention
- Application data: Retained for up to 24 months after your application date, unless you are added to our talent pool for future consideration.
- Talent pool data: Retained until you request removal or the data is no longer relevant to our hiring needs.
- SMS opt-in records: Retained for the duration of our messaging program plus a minimum of 5 years, as required for regulatory compliance and carrier audit purposes.
- Message logs: Retained for a minimum of 4 years, consistent with carrier and regulatory requirements.
You may request early deletion of your data at any time (see Section 8).
8. Your Rights
You have the right to:
- Access: Request a copy of the personal information we hold about you
- Correction: Request correction of inaccurate or incomplete information
- Deletion: Request deletion of your personal information, subject to legal retention requirements
- Opt-out of SMS: Withdraw your consent to receive text messages at any time by replying STOP to any message, or by contacting us directly
- Withdraw consent: Withdraw any consent you have given us, where applicable

9. State Privacy Rights
Washington State: Under the Washington My Health My Data Act and Washington Privacy Act, Washington residents may have additional rights regarding their personal information.
California: If you are a California resident, you may have additional rights under the California Consumer Privacy Act (CCPA) and the California Privacy Rights Act (CPRA), including the right to know what personal information we collect, the right to delete, and the right to opt out of the sale of personal information. We do not sell personal information.

10. Children's Privacy
Our hiring portal is not intended for individuals under the age of 18. We do not knowingly collect personal information from anyone under 18 years of age. If we learn that we have collected information from a minor, we will promptly delete it.
11. Changes to This Policy
We may update this Privacy Policy from time to time. We will post the updated policy on this page with a revised "Last Updated" date. If we make material changes, we will notify active applicants via email or text message. Your continued use of our services after any changes constitutes your acceptance of the updated policy.
